Job Summary Under limited supervision, this position will provide executive support to the President including scheduling/calendar management, policy development, project management and tracking, presentation preparation and stakeholder communications and coordination.
This position works closely with the President on a wide variety of public affairs, administrative and executive matters, high priority projects and initiatives, and will organize, coordinate and translate initiatives and plans into action.
The incumbent assists the President in balancing internal responsibilities with the external demands for the President’s participation, including public relations.
This person will serve as a confidential employee.
This position will work with the Human Resources Department to provide support of the performance evaluation process, probation and progression tracking for support staff, job audits for new positions and reallocations/re-comparisons/allocations for existing positions, writing/developing of position descriptions, assist with compensation determination requests, assist with qualification testing processes for Unit 206 positions, and updating of organizational charts for the college.
Qualifications Minimum Qualifications · At least three (3) years of executive administrative experience (preferably in higher education) and Associate’s degree in Office Administration, Communications, Business, or similar field or an equivalent combination of both education and work experience.
· Experience in successfully managing multiple tasks and projects.
· Ability to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors.
Preferred Qualifications · A Bachelor’s degree in Communications, Business, Education or a field related to higher education · Experience authoring speeches, presentations, briefings, or reports.
Strong computer skills and knowledge of multiple software programs (Microsoft Outlook Calendaring/Email, Zoom, Teams, Microsoft Office -Word, Excel, Access and PowerPoint, OPAC Testing Software, ELM Training Software, EMS Room Scheduling Software, Perceptive Content Imaging Software, Marketplace Purchasing/AP System, Recruiting Solutions Hiring Software, PeopleAdmin, Workday, SEMA4, Visio) Ability to plan, organize, lead, and manage projects and competing priorities.
· Knowledge of budget principles sufficient to manage budgets and forecast expenses.
Must possess a high degree of confidentiality, ethics, integrity, and problem-solving abilities demonstrated through internal/external relationships that impact the work environments of the College and system communities.
· Highly detailed, accurate, excellent organizational skills, excellent grammar/proofreading skills.
· Effective interpersonal skills and the ability to build collaborative working relationships in a diverse environment.
Broad knowledge and experience in all areas of human resources management including, but not limited to: classification, compensation, recruitment/selection, performance management, progressive discipline, leave management, collective bargaining, professional development and training, HR systems management and payroll, and benefits administration.
Demonstrated ability to work successfully with persons of diverse backgrounds and a commitment to affirmative action in staffing and operations.
